SUNDAY COORDINATORS ROUTINE for Divisions 2, 3 and 4

1. Begin setting up the Optimist table at 10:45 am in preparation for the 11:45 am game.

2. The Optimist display table is stored behind the juniors’ locker in the stairwell, at the downstairs entrance to the upstairs lounge.  Materials, photo albums, Sunday Coordinator white binder, Sports bags and Banners are stored in 3 boxes in the upstairs meeting room OJI Closet or under the media counter.

3. Draft agenda for Coaches Meetings.  See sample agendae from several past Sundays at the back of white “Routine for Sunday Games at Cloverdale” binder.

4. Complete grease board on west wall beside Sheet 2 with scheduled games.  The schedule is posted on the bulletin board with extra copies in the Sunday Coordinator white binder.  Pens, erasers and markers are in the smaller materials (cigar) box.

5. Fill out game score sheets ready for games with each of the 11 yellow asterisked items inside outlined boxes:  Note Sponsor Name or “Need Sponsor” on each appropriate field of each sheet, please – very important on all of our documents. 4     Points for a win are shown in small font on the left side of season schedule of games.  All teams get 3 points for a win in the first 3-game block round robin. 4  Each team gets 2 points for a loss 4        A team gets 0 points if they default a game by not sending at least one player.  Optimist Junior Interclub rules allow up to 3 spares from other clubs.

6. As teams arrive, assist in coordination of spares and be available to answer any questions any of the teams may have.

7. Once the games are well under way, complete grease board for next games and fill out the early game Score sheets.

8. 30 minutes after games begin (use time from large clock in ice area), call all Coaches or Coordinators and invite parents from upstairs and down to the Coaches Meeting (5-10 minutes maximum) in downstairs lobby, west end.  Thank everyone for being prompt so others were not left standing waiting for stragglers.

9. After Coaches Meeting, the Sunday Coordinator must visit each Curler at the backboard bench to get correct pronunciation and spelling of each of their names and fill out the game score sheets accordingly.  This will take about 35 minutes including wait times, making sure Curlers have time to be interviewed between taking their turns to play while the other team is delivering.

10. Curlers must play a minimum of six ends or play to the bell.  Etiquette: Use your imagination if the score appears to be getting out of hand.

11. A bell will ring after 1 hour, 40 minutes for ColourTime Division 2 and Need Sponsor Division 3;  1 hour, 20 minutes for Need Sponsor Division 4.  If the 3rd or skip rocks are being thrown when the bell rings, the curlers complete the end they are playing plus one more end.  If the lead or 2nd rocks are being thrown, they complete that end only.

12. As the games end and before the teams attempt to vanish, collect game Score sheets. You may need to panic and run to ensure that the sheets are completed with scores and signatures before the kids make it to the door.

13. As the next Division teams arrive, assist in coordination of spares and make yourself visible and available to answer any questions that any of the teams may have.

Once the next games are under way, the Sunday Coordinator must again visit each Curler at the backboard bench to get correct pronunciation and spelling of each of their names and fill out the game sheets accordingly.  Allow about 35 minutes to include waiting times as the kids take their turns to play without interruption.

15. 30 minutes after each draw begins, (use time from large clock in ice area) call all Coaches and invite parents from upstairs and down to the Coaches Meeting in the downstairs lobby, west end.  Thank everyone for being prompt so others were not standing waiting for stragglers.

16. As the games end and before the teams attempt to vanish, collect game score sheets. You may again need to panic and run to ensure that the sheets are completed with scores and signatures before the kids make it to the door.

17. Once all Score sheets are in, update standings on letter board.  Magnetic numbers are in the small clear plastic box.  Please leave a marked up copy of the season game schedule for each Division in the white binder together with the game score sheets and Coaches Meeting Agenda and take a copy home with you for emailing.

18. Check for belongings left behind by Curlers and put anything you find in the Lost and Found box (alcove at the entrance to women’s washroom downstairs).

19. Dismantle display table and return to stairwell storage.  Store box materials upstairs in meeting room under media table.
